In brief: the receipt

A receipt is a written confirmation that a payment or item was received; the person receiving the money signs it. For private cash payments it is often the only proof the payment ever happened.

Amount, date, purpose and the parties belong on every receipt.
Write the date unambiguously – in the US the standard format is MM/DD/YYYY.
Keep receipts at least until warranty and limitation periods have run out; for tax-relevant payments the IRS generally expects records to be kept for three years.
A receipt is not an invoice: the invoice requests payment, the receipt proves it.

Frequently asked questions

When do I need a receipt?

Whenever cash changes hands and proof matters: private sales, down payments, a security deposit handed over in cash, repayments among friends. The signed receipt proves the amount was actually paid – without it, a private cash payment is hard to reconstruct.

Who signs the receipt?

The person who received the money. Their signature confirms receipt of the amount stated. The payer keeps the receipt – it is the payer’s proof.

Is a digitally signed receipt valid in the US?

Yes. A receipt has no required form, and electronic signatures are valid under the federal ESIGN Act and state e-signature laws such as UETA (in New York: ESRA). Tamgara’s simple electronic signature is perfectly sufficient as private proof of payment.

How long should I keep receipts?

Keep them at least until any warranty or dispute window has passed. For tax-relevant payments the IRS generally expects supporting records to be kept for three years – longer in special situations, so when in doubt, keep the PDF.
